Who we are
PickUp ("we", "us", "our") operates the PickUp mobile app and website at playpickupsports.com. We build tools that help people find and join pickup sports games in their city.
What we collect
- Phone number:Used to verify your identity and send game reminders. We do not sell or share it with third parties.
- Name:Displayed on your profile and in game rosters so other players know who to expect.
- Location:Used to show you games nearby. We request location only when you open the app — we do not track you in the background.
- Device token:Used to send push notifications for game updates and approvals. You can disable notifications at any time in your device settings.
- Usage data:Basic analytics (screens visited, actions taken) to improve the app. No personally identifiable information is attached.
- Participant details for paid sessions:When you register someone for a camp, clinic or session, we ask for the participant's first and last name and date of birth, an emergency contact name and phone number, and — only if you choose to provide them — allergies or medical notes. We collect these to run the session safely and to confirm the participant is in the right age group.
- Health information:Allergy and medical notes are optional and treated as sensitive information. They are shown only to the organizer of that specific session and to PickUp staff, are used only for participant safety at that session, and are never used for marketing or shared with anyone else.
- Emergency contact:If you give us someone else's name and number as an emergency contact, please make sure they are comfortable with that. We use it only to reach them in an emergency at the session.
Who sees your registration information
When you register for a session, the organizer of that session receives the participant's name and date of birth, the emergency contact you provided, any medical notes you chose to add, and your name, phone number and email so they can reach you about that session. They receive this only for sessions you registered for, and only to run and staff them safely. Organizers are not permitted to use your contact details for anything else.
Children and youth accounts
Parents or legal guardians may create youth accounts for children under 18. We collect the child's name and date of birth to verify age eligibility for youth programs and, for paid sessions, to confirm the participant is registered in the correct age division and to identify them at the venue. Youth accounts are linked to the parent's account and cannot independently access the platform. We do not knowingly collect personal information from children under 13 without verifiable parental consent.
How we use your information
- Match you with nearby games and venues
- Send game confirmations, reminders, and updates
- Verify parent approval for youth game participation
- Run sessions safely — checking participants in, contacting the emergency contact if needed, and giving on-site staff any medical notes you provided
- Display your name and stats to other players in shared games
- Process membership payments (handled by our payment processor — we do not store card details)
- Improve app features and fix bugs
What we don't do
- We do not sell your personal information
- We do not sell your phone number, or share it with third parties or advertisers. The only people who receive it are the organizers of sessions you actually register for, so they can contact you about that session.
- We do not run ads or share data with ad networks
- We do not track your location in the background
Data storage and security
Your data is stored on servers in Canada. We use industry-standard encryption for data in transit (HTTPS) and at rest. Session tokens are stored securely on your device and are never shared.
Data retention
We retain your account data for as long as your account is active. If you delete your account, your personal information is deleted within 30 days. Game history may be retained in anonymized, aggregated form.
Your rights
You can at any time:
- Request a copy of your personal data
- Request correction or deletion of your data
- Withdraw consent for notifications
- Delete your account from the Profile screen
Third-party services
We use a small number of trusted third-party services to operate PickUp:
- Payment processing (for memberships)
- Push notification delivery (Apple APNs / Google FCM)
- Cloud hosting (server infrastructure)
These services only receive the minimum data necessary to perform their function and are contractually bound to protect your information.
Changes to this policy
We may update this policy as the app evolves. If we make material changes, we'll notify you via push notification or in-app message. Continued use of PickUp after changes constitutes acceptance of the updated policy.
